How Military Hearing Claims UK collects, uses, shares and protects your personal information, and the rights you have over it.

Last updated: 29 September 2026

Direct answer

We use the details you send us only to check whether you may have a military hearing loss claim and, with your explicit consent, to refer you to an independent regulated law firm. We do not sell your data or use it for marketing, and you can ask us to access or delete it at any time.

Who we are

The data controller

Military Hearing Claims UK is operated by Independent Medical Agency Limited, registered in England & Wales under company number 15854870, registered office Trust House, 5 New Augustus Street, Bradford, West Yorkshire, BD1 5LL. Independent Medical Agency Limited is the controller of the personal information described in this policy.

We are not a law firm. We check whether you may have a military hearing loss claim and, with your agreement, refer you to an independent law firm regulated by the Solicitors Regulation Authority.

For any privacy question or request, email info@military-deafness-claim.com.

What we collect

Information we collect

When you use our enquiry form or email us, we collect:

  • your name, email address and phone number;
  • your service number (optional) and branch of service;
  • what you tell us about your service, noise exposure and hearing symptoms. Information about your health is special category data under UK data protection law and we give it extra protection.

When you browse the site, our hosting and security provider processes technical information such as your IP address and browser details to deliver the site and protect it from abuse. See cookies and similar technologies below.

The online eligibility checker and compensation calculator run in your browser. We do not receive or store your answers to them.

How we use it

Why we use your information and our lawful basis

  • To reply to your enquiry and check whether you may have a claim. Lawful basis: your consent (UK GDPR Article 6(1)(a)). Because this involves health information, we also rely on your explicit consent (Article 9(2)(a)).
  • To refer you to an independent regulated law firm. We only do this with your explicit consent (Articles 6(1)(a) and 9(2)(a)).
  • To keep the site secure and working. Lawful basis: our legitimate interests in running a secure website (Article 6(1)(f)).
  • To meet legal obligations, such as responding to lawful requests from regulators or courts (Article 6(1)(c)).

You can withdraw your consent at any time by emailing info@military-deafness-claim.com. This does not affect anything we did before you withdrew it. We do not use your information for marketing, we do not sell it, and we do not make decisions about you by automated means.

Sharing

Who we share your information with

  • An independent regulated law firm, if you agree to be referred. The firm becomes a separate controller of your information and will give you its own privacy notice.
  • Service providers who act on our instructions: our form delivery service (Web3Forms), which passes your enquiry to our email inbox; our email provider; and our website hosting and security provider (Cloudflare). They may only use your information to provide their service to us.
  • Regulators, courts or law enforcement, where the law requires us to.

Some of these providers may process information outside the UK. Where they do, we rely on UK adequacy regulations or appropriate safeguards such as the International Data Transfer Addendum to the EU Standard Contractual Clauses.

Retention

How long we keep it

If we do not refer you to a law firm, we keep your enquiry for up to 12 months from our last contact with you, so we can deal with any follow-up questions, and then delete it. If we refer you, we keep a record of the referral for up to 6 years for legal and regulatory purposes. The law firm keeps its own records under its own retention policy.

Your rights

Your data protection rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information;
  • ask us to restrict or stop using your information;
  • object to our use of your information based on legitimate interests;
  • ask us to transfer information you gave us to another organisation;
  • withdraw your consent at any time.

To use any of these rights, email info@military-deafness-claim.com. We will respond within one month. There is normally no charge.

Cookies

Cookies and similar technologies

We use only what is needed to run the site. We do not use analytics, advertising or tracking cookies.

  • __cf_bm — a strictly necessary security cookie set by Cloudflare to distinguish people from bots. It expires after 30 minutes.
  • mdc-cookie-consent — an entry in your browser’s local storage that remembers your choice on our cookie banner. It stays on your device until you clear it.

Security

Keeping your information safe

The site is served only over encrypted HTTPS connections. We limit access to enquiries to the people who need it to respond to you, and we require our service providers to protect your information.

Complaints

How to complain

If you are unhappy with how we have handled your information, please contact us first at info@military-deafness-claim.com. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator, at ico.org.uk/make-a-complaint or by calling 0303 123 1113.
